EVS – Elite Virtual Support is a fast-growing, managed remote talent hub serving international clients across AU, US, UK, and CA markets. We do not sell freelancers. We build reliable, structured, long-term remote teams backed by systems, SOPs, and accountability.

We are looking for a Talent Manager who can build and own the entire people function from zero, not just recruit, but design the talent engine that allows the company to scale cleanly.

This role is critical in our startup phase.

ROLE OVERVIEW

The Talent Manager is responsible for end-to-end talent operations, including recruitment, onboarding, performance tracking, retention, and culture building. You will work closely with the Managing Partner and Operations Manager to ensure we are hiring the right people, at the right time, with the right structure.

This is a hands-on role. You will not inherit systems, you will help build them.

WHAT A STARTUP LIKE EVS NEEDS (BUILT INTO THIS ROLE)

KEY RESPONSIBILITIES
1. Recruitment & Hiring (Core Priority)

• Own the full recruitment cycle for all roles (VAs, specialists, internal team)
• Create and post job ads aligned with EVS standards
• Screen applicants, conduct interviews, and shortlisting
• Coordinate with Operations and Managing Partner on final hiring decisions
• Build and maintain a reliable talent pipeline for future scaling

2. Onboarding & Talent Readiness

• Design and manage onboarding processes
• Ensure contracts, NDAs, and documentation are completed correctly
• Coordinate training schedules with Operations
• Ensure new hires are fully ready before client deployment

3. Performance & Retention Management

• Track attendance, performance, and early warning signs
• Support performance improvement plans with Operations Manager
• Implement feedback loops and basic performance reviews
• Reduce churn through structure, clarity, and proper role fit

4. HR Systems & Documentation (Startup-Level)

• Maintain employee records and compliance documents
• Help document HR-related SOPs as the company grows
• Support implementation of time tracking, policies, and internal rules
• Ensure consistency, fairness, and professionalism

5. Culture & Talent Standards

• Uphold EVS values, professionalism, and discipline
• Ensure VAs and staff understand scope, boundaries, and expectations
• Act as a bridge between management and staff when needed

WHO THIS ROLE REPORTS TO

• Primary: Managing Partner
• Works closely with: Operations & Systems Manager

QUALIFICATIONS (MUST-HAVE)

• Proven experience in recruitment, HR, or talent management, preferably in a BPO, VA hub, or outsourcing environment
• Strong interview and screening skills
• Comfortable working in a startup environment
• Able to work onsite in Angeles City, Pampanga
• Organized, detail-oriented, and process-driven
• Strong written and verbal communication skills
• Can handle pressure, volume hiring, and fast turnarounds

NICE-TO-HAVE (ADVANTAGE)

• Experience hiring for international clients
• Familiarity with VA roles, remote work setups, or offshore staffing
• Experience building SOPs or HR processes from scratch
• Background in performance management or QA support

EVS – Elite Virtual Support is building a managed Virtual Assistant hub from the ground up. We are not a freelance marketplace and not a generic BPO. We run structured, system-driven VA teams for international clients.

We are hiring one critical role: an Operations & Systems Manager who has hands-on experience running a VA hub and can take full ownership of daily operations, VA performance, and systems.

This role reports directly to the Managing Partner.

THIS ROLE IS FOR YOU IF

You have:
• Personally managed a VA hub or VA agency
• Overseen multiple VAs serving multiple international clients
• Built or enforced SOPs, KPIs, QA, and performance systems
• Worked with CRMs and VA tools daily
• Helped scale a VA operation from early stage to structured growth

If your experience is only corporate HR, admin, or general operations, this role is not a fit.

ROLE SUMMARY

The Operations & Systems Manager owns the entire ex*****on layer of the VA hub. You ensure VAs perform, systems work, clients are supported, and operations scale without chaos.

You will not inherit a perfect system. You will build, fix, and enforce.

KEY RESPONSIBILITIES
VA HUB OPERATIONS & DELIVERY

• Oversee all VAs day-to-day
• Manage attendance, productivity, and performance
• Handle VA replacements, coaching, and discipline
• Enforce scope, SOPs, and client rules

SYSTEMS & TOOLS

• Set up and manage CRMs used by clients and internally
• Maintain task, time tracking, and reporting systems
• Build dashboards, QA scoring, and performance tracking
• Ensure tools are used correctly and consistently

SOPs & KNOWLEDGE BASE

• Create and maintain VA and client SOPs
• Standardize onboarding and training processes
• Prevent knowledge loss and dependency on individuals

CLIENT DELIVERY SUPPORT

• Act as first escalation point for client issues
• Coordinate with Managing Partner on high-risk accounts
• Ensure consistent service quality and retention

TEAM & FLOOR LEADERSHIP

• Run daily operations and team check-ins
• Coach senior VAs and team leads
• Maintain structure, discipline, and accountability

REQUIRED EXPERIENCE (NON-NEGOTIABLE)

• Direct experience running a Virtual Assistant hub or VA agency
• Experience managing 10+ VAs serving international clients
• Hands-on use of CRMs (GoHighLevel, HubSpot, Zoho, or similar)
• Experience implementing SOPs, KPIs, and QA systems
• Experience onboarding, training, and replacing VAs
• Comfortable working onsite and under startup pressure

WHAT THIS ROLE IS NOT

• Not client success alone

This role owns operations.

This is a full-time, onsite role for someone who enjoys building from zero, creating clean systems, and taking ownership of the tech backbone of a growing company.
