Booking Policy

Why this policy exists
When you book an appointment at Creative Touch, that slot is reserved exclusively for you. We prepare in advance, set aside the time, and often order or prepare products specifically for your treatment. We genuinely love what we do, and every appointment matters to us.
This policy exists to be fair. Fair to you, fair to other clients who might have wanted that slot, and fair to us as a small independent clinic. We've tried to write it in plain English rather than burying important things in small print, because we think you deserve to know exactly where you stand before you book.
If you ever have a question about any of it, just get in touch. We'd much rather have that conversation than have anyone feel caught out.
Booking fees and deposits
A non-refundable booking fee is required to secure all appointments. The amount will be shown during the booking process and is deducted from your total on the day of your treatment.
Here's why we ask for it: we've found that appointments secured with a booking fee are much more likely to go ahead, which means we can plan our days properly and keep waiting lists moving for other clients. It's not about distrust. It's just good practice on both sides.
What happens to your booking fee:
• If you cancel or reschedule with 48 or more hours' notice, your booking fee is transferred to your new appointment date as a credit.
• If you cancel with less than 48 hours' notice, your booking fee is non-refundable.
• If you do not attend your appointment without contacting us, your booking fee is forfeited.
Booking fees and advance payments are non-refundable once an appointment date has been confirmed.
Cancellations and rescheduling
We know life happens. Illness, childcare, work, unexpected emergencies. We genuinely do try to be understanding, and we always look at individual circumstances before applying any charge.
That said, late cancellations and no-shows affect us significantly as a small business, so we do need a clear policy that everyone can see and agree to upfront.
Our cancellation terms:

Less than 48 hours before your appointment
50% of the full treatment value is charged.
Same-day cancellation
Up to 100% of the treatment value may be charged at our discretion.
No-show (no contact at all)
100% of the treatment value is charged.
Rescheduling is always welcome when you give us 48 or more hours' notice. Your booking fee moves with you to the new date at no extra cost.
We will always try to fill a cancelled slot. If we're able to rebook it, we'll use our discretion and apply a reduced or waived charge where this feels fair.
Credit notes
Where a cancellation is made with 48 or more hours' notice, a credit note will be issued for the value of any advance payment or booking fee paid.
Credit notes are valid for six months from the date of issue, are non-transferable, and cannot be exchanged for cash. They can be used against any treatment at Creative Touch.
Credit notes may also be issued at our discretion in genuinely exceptional circumstances, even where the usual conditions aren't met. We're not a faceless corporation. We're a small team in Rotherham and we do our best to be fair.
Late arrivals
We do our best to run on time, and we ask the same in return.
If you arrive late, we'll always try to carry out as much of your treatment as time allows. But please be aware that if you arrive more than 10 to 15 minutes late, we may not be able to complete your full treatment, and in some cases we may need to reschedule entirely.
In that situation, your booking fee may not be refunded and a late cancellation charge may apply, particularly if the delay means another client cannot be seen.
If you're running late, please call or message us as soon as you can. A quick heads-up makes a real difference.
Age policy
Most of our treatments are for clients aged 18 and over. Some beauty treatments — including spray tans, nails, and lashes — are available to clients aged 16 and 17 with a parent or guardian present or with their written consent.
Ear piercing is available from age 8 and above, provided a parent or guardian is present at the appointment.
Injectable treatments are different. For Botox and dermal fillers, it is a legal requirement under the Botulinum Toxin and Cosmetic Fillers (Children) Act 2021 that all clients are aged 18 or over. It is also a criminal offence to book or arrange these treatments for anyone under 18, regardless of parental consent.
We may ask to see photo ID (passport, driving licence, or a PASS-hologram card) for injectable treatments and at any other point where age needs to be verified. If you cannot provide valid ID, we will not be able to carry out the treatment, and your booking fee will not be refunded.
If you're booking for a younger client and you're not sure whether a treatment is suitable, just get in touch before you book and we'll talk it through.
Children and guests on premises
We love families. But for the safety and comfort of everyone in the clinic, we ask that children under 8 are not brought to appointments.
Children aged 8 and above are welcome to wait or sit with you, provided they can sit quietly and stay away from treatment areas. The clinic environment involves sharps, active clinical products, and equipment that can pose a risk to curious little hands. We're sure you understand.
If you're unsure about making arrangements, please call us before your appointment and we'll do our best to help you plan.
Medical history and suitability
Some of our treatments are not suitable for certain medical conditions, medications, allergies, or skin sensitivities. You are responsible for letting us know about any of these before you book.
If a contraindication is discovered at your appointment that means we cannot safely carry out the treatment, we may need to decline or pause your appointment. We'll always explain why and discuss alternatives where we can, but in those circumstances your booking fee may be forfeited.
Please don't feel awkward about disclosing. We've heard everything. And we'd genuinely always rather have that conversation before your appointment than have to disappoint you on the day.
Patch testing
Certain treatments require a patch test at least 48 hours before your appointment. Where this applies, we'll let you know clearly at the time of booking and in your appointment confirmation.
If you have not completed the required patch test, we cannot carry out the treatment and your booking fee may be forfeited. This is about your safety, not inconvenience. Some skin reactions can be serious, and we take that responsibility seriously.
If you're unwell
Please don't come to your appointment if you're feeling unwell, particularly if you have a contagious illness. It's not fair on other clients or on us.
Contact us as early as possible and we'll do our best to rebook you without charge. If we can fill the slot, we'll always try to waive or reduce any cancellation fee. We'd much rather know in advance than have you push through when you're not feeling well.
Photography and consent
Clinical photographs may be taken before and after certain treatments as part of your treatment record. This is standard practice in aesthetics and is important for your safety and continuity of care.
Before-and-after images are kept securely as part of your confidential client record and are not shared publicly without your explicit written consent. If you're happy for images to be used on our website or social media, we'll ask you separately and in writing. You're never under any obligation to agree, and you can withdraw consent at any time.
Results and aftercare
We care about your results. We always aim to achieve the best possible outcome and we'll give you honest, realistic expectations before any treatment goes ahead.
But results vary from person to person. They depend on your individual skin, your lifestyle, your aftercare, and factors that are sometimes outside our control. We can't guarantee specific outcomes, and we don't offer refunds based on subjective expectations of results where treatment has been carried out with proper care and skill.
What we do guarantee is that we'll treat you professionally, explain everything clearly, and be there for you if something doesn't feel right after your treatment. Please always get in touch if you have any concerns.
Aftercare instructions are provided at your appointment, either verbally, in writing, or both. Sticking to these makes a real difference to your results, so please don't skip them. If something happens after treatment that worries you, contact us straight away rather than waiting.
If we need to cancel or change your appointment
It doesn't happen often, but occasionally we may need to cancel or reschedule your appointment due to practitioner illness, an emergency, or circumstances outside our control.
If this happens, we'll contact you as early as possible and offer you an alternative date. Any booking fee or advance payment will be credited in full to your new appointment. We won't charge you for clinic-initiated changes, and we'll do everything we can to minimise disruption to your plans.
Payments

A booking fee or deposit is required at the time of booking. The remaining balance is due on the day of your appointment, before or immediately after treatment.
Your data and privacy
When you book with us, we collect personal information including your contact details and, for certain treatments, health information. This is classified as special category data under UK GDPR and is handled with the utmost care.
We use your information to manage your appointments, carry out your treatments safely, and keep your treatment records. We retain client records for a minimum of eight years in line with standard practice for aesthetic treatments.
We'll never share your information with third parties for marketing purposes without your explicit consent.

Complaints
We genuinely hope you never need this section. But if something isn't right, please tell us.
The best first step is always to contact us directly. We'll listen carefully, take your concern seriously, and do our best to put things right. We aim to respond to any complaint within 14 days.
Under the Consumer Rights Act 2015, if a service has not been delivered with reasonable care and skill, you are entitled to ask us to put this right, or to receive a partial or full refund. We honour these rights. We'd always rather fix something than have a client leave unhappy.
If we're not able to resolve your complaint to your satisfaction, you have the right to seek independent resolution through Trading Standards or an Alternative Dispute Resolution (ADR) service.

By completing a booking with Creative Touch, you confirm that you have read and agree to the terms set out in this Booking Policy.
This policy is reviewed regularly and may be updated from time to time. The version in place at the time of your booking applies to that appointment.
