About the Role
Are you tech-savvy, organized, and passionate about service and aesthetics? Signature Medical Spa is looking for an energetic Client Experience Coordinator to join the front team to schedule, take payments, and help promote our services and products. In this role, you’ll deliver exceptional, high-touch customer service while leveraging our medical software to keep our day running seamlessly.
We are a close-knit, highly supportive team that values positivity, reliability, and efficiency. If you would thrive with details and delivering exceptional warmth and service in a beautiful environment, and can handle complex scheduling, we’d love to meet you!
Key Responsibilities
Client Engagement: Deliver a warm, professional, HIPAA-compliant experience for every client from check-in to check-out.
Tech & Scheduling: Extensively utilize online portals, phones, and NexTech Practice+ software to manage appointments, client records, and communications across phone, email, and digital channels.
Retail & Brand Experience: Educate guests on our medical spa services and premium skincare lines. Maintain retail displays, signage, refreshment stations, and ambiance.
Checkout & Financials: Process payments, gift cards, and rewards programs accurately. (Opportunities available for specialized training in daily financial balancing.)
Daily Operations: Assist with opening or closing procedures and keep front-of-house operations running smoothly.
What We’re Looking For
Tech-Fluent: Strong computer proficiency (Microsoft Office/Windows) with the ability to quickly master specialized practice management software (NexTech Practice Plus).
Communication Skills: Clear, polished, and friendly communication, both written and verbal.
Experience: 1+ years in a professional customer service or office setting (spa, medical office, or upscale hospitality or retail experience preferred).
Education: High school diploma required; college coursework or degree is a plus.
Attributes: Detail-oriented, dependable, trustworthy, and a positive team player who thrives under minimal supervision.
Schedule & Requirements
Hours: Monday – Thursday, 9 AM – 6 PM or similar, and Fridays 8 AM - 5 PM or similar; plus 3-4 half-day Saturdays per year.
Physical: Comfortable sitting 80%–90% of the day; ability to lift up to 25 lbs.
Compliance: Annual Flu vaccination & in-office HR/OSHA training required.
