AEMS is a start-up manufacturing business that is growing and in current need of a part-time detail-oriented and experienced Bookkeeper to maintain our financial records, including purchases, sales, receipts and payments, and working closely with our team to create and analyze financial reports. Ultimately, the Bookkeeper’s responsibilities are to ensure all day-to-day financial transactions of our companies are accurately recorded.
This position may become a full-time position as the business grows.
RESPONSIBILITIES:
1) BOOKKEEPING
• Review all day-to-day financial transactions and ensure accurate coding to the general ledger.
• Record manual entries as needed.
• Record month-end closing entries.
• Reconcile all balance sheet accounts.
2) FINANCIAL REPORTS
• Prepare timely, accurate financial statements.
• Provide monthly, quarterly, and annual reports to department managers as directed.
• Monitor deviations from budget and inform management.
• Ensure that all quarterly and yearly taxes are paid on time: business, property, corporate, sales, payroll, employment security, industrial insurance, federal withholding.
2) ACCOUNTS PAYABLE
• Check invoices for accurate extensions and product assignments.
• Reconcile vendor statements and prepare checks for payment.
• Identify the appropriate account to charge and ensure payments are made in a timely manner. Maintain good credit.
• Enter all COD invoices into the books in timely manner.
• Monitor cash flow status. Schedule large payments, in coordination with department managers, and General Manager to avoid strains on cash.
• Research and correct problem accounts.
• Conduct and oversee maintenance of invoice files.
• Establish credit with vendors when necessary.
3) ACCOUNTS RECEIVABLE
• Establish new customer accounts and process credit applications.
• Prepare monthly statements for accounts receivable; follow up as needed to ensure payment.
• Record and work to collect bad checks with the support of the General Manager as needed. Record other accounts receivable and
• follow up as needed to ensure payment.
• Monitor A/R account, ensuring timely payment and coordinating with appropriate departments.
4) BANK & CREDIT CARD ACCOUNTS
• Monitor Banking Transactions and reconcile monthly statements.
• Monitor Credit Charges and reconcile monthly statements.
• Produce discrepancy reports for the Department Managers.
5) PAYROLL
• Process biweekly payroll (timely, accurate, correct deductions, maintain records on accrual and use of paid time off).
• Enter payroll information into the books.
• Answer staff questions on payroll and benefits.
• Ensure accurate/timely payment of payroll taxes and withholdings.
6) OTHER RESPONSIBILITIES
• Prepare monthly, quarterly, and other reports as needed to the Department Managers
• Attend and participate as appropriate in staff meetings and other meetings as necessary.
• Perform other tasks conveyed by management.
QUALIFICATIONS:
• BA in Accounting or related field with 3 to 5 years of bookkeeping experience.
• Understanding of generally accepted accounting principles (GAAP)
• Computer literacy, proficiency with accounting software (preferably Odoo), spreadsheets, word processing, email, keyboarding, and ten key.
• Communication skills--good listener, clear directions.
• Organized, meticulous attention to detail.
• Demonstrated ability to follow through on commitments.
• Regular, predictable attendance.
• Willingness and ability to learn and grow to meet the changing requirements of the job.
• Proficiency in English and able to work during U.S. business hours
AE Manufacturing Solutions (AEMS) is seeking a full time employee in the role of Production and Warehouse Specialist. AEMS is a manufacturing company currently focusing on beauty and therapy products. The position requires delicacy and attention to detail. This role requires attention to detail and precisely following recipes, and operating equipment to produce quality products. Responsibilities include but not limited to: production of our existing product line, transferring and packing finished products, organizing the production and storage areas, fulfilling orders and taking basic inventory of finished products and raw materials. You’ll also keep the facility clean by removing debris and trash to ensure safety.
In addition, the following specific responsibilities apply:
-Operate beauty product production equipment
-Cleaning production equipment following a production run
-Quality control and packing of finish products to specification
-Shipping and fulfillment of orders received electronically
-Maintain organization and cleanliness in the warehouse and production areas
-Take inventory of finished products and raw materials
-Report defects in production machinery or finished products
Specific skills and/or requirements:
-DELICACY AND ATTENTION TO DETAIL
-Ability to follow recipes and instructions to create specific products from raw materials
-Familiarity with production equipment and how it works (from a similar previous role)
-Organization and cleanliness to ensure a safe and efficient production and storage facility
-Good eye for quality control and inspection of finished products
-General computer skills necessary to print shipping labels and update inventory levels on a spreadsheet or similar inventory management software
-Good oral communication skills
-Honesty and integrity
